Provisional Policy Management

Change management, security policy conflicts? No worries, you’re covered

Overview

Allow users to quickly request a temporary change
in security policy to meet changing business needs.

The exception policy management approval system provides temporary permissions to documents through a pre-approval, post-approval, or self-approval workflow. This can also include opting out of print and screen watermarks, allowing users to decrypt a file, or automatically sending a sensitive file to an external user. Files that follow an exception policy are managed separately to maintain security.

Use Cases

Enable Easy Access to Customer Contracts

Request Change to Watermark Policy for Call Center

Challenges

An electronics manufacturer receives requests from its customers to create specialized components for automobiles, aircraft, and general consumer goods.  The company encrypts all contracts because of their sensitive information.  The legal department reviews the contracts and makes required changes based on negotiations with the customer.  Most of this work is handled by legal, but sometimes, people in sales or manufacturing need to review and propose changes to the contract.  The sourcing group needs to provide a simple way for reviewers to request contract access since the current process is time-consuming.

Solutions

Fasoo eXception Management (FXM) lets users easily request changes to security policy, allowing them to view and edit customer contracts.  Department heads are granted the requested file permissions immediately upon request by right-clicking the file.  Other users need approval from a department head through a simple email workflow before getting the requested permissions.  All requests and approvals are logged to ensure only authorized users can access the contracts.

Benefits

FXM enhances productivity since it’s easy to request and approve changes to security policies.  Enhanced usability allows sales, manufacturing, and other personnel to review and suggest contract changes without worrying about security while reducing the burden on IT.

Challenges

Many companies have call centers that service customers placing orders, requesting product support, and tracking shipments.  Since agents have access to sensitive customer information, including PII, in their CRM system, the call center implemented screen security that places watermarks on sensitive data to deter sharing and prevents agents from taking screenshots.  Sometimes, an agent needs to share a screenshot with a customer or another employee without the watermark.  Management wants the agent to have an easy way to request this change without having to involve IT.

Solutions

Fasoo eXception Management (FXM) lets users request changes to security policy, allowing them to share a screenshot of the data on the screen without a watermark.  A simple request and approval process allows managers or other designated approvers in the call center to approve the temporary change.

Benefits

FXM enhances productivity since it’s easy to request and approve changes to security policies.  Agents can request the change with a few clicks on their computers, and approvers will get a real-time notification.  All request and approval actions are logged for audit purposes.
